The time lost searching for a file is the most widespread hidden cost of any workshop or creative office. You know the file exists, but its name escapes you and it is buried in ten folders. This article builds on the guide to organizing your design and fabrication files.
Why searching by name fails
Searching by name assumes you remember the exact name — which is rarely the case. "final", "export2", "untitled" mean nothing three months later. And Windows search does not index the visual content of your creative files.
1. Recognize rather than remember
The brain recognizes an image far faster than it retrieves a name. A library of visual previews lets you spot the right file at a glance, even without knowing its name. Many formats have no preview on Windows: see showing the missing previews.
2. Combine filters
Real speed comes from filters that stack. Instead of a single folder, you cross several criteria:
- Format (SVG, STL, DXF...)
- Tag (client, machine, material...)
- Project or collection
- Date or status
Each added filter shrinks the list down to the right file, even in a large library.
